Most disagreements about tuition money are not about the rate. They are about a cancelled session and a month with an extra week in it.

Settle three things before the first paid session: whether the fee counts sessions or covers a month, who bears a cancellation and with how much notice, and what happens in a month that has an extra week or a school exam break. Agree them in a message so both sides can read them back later.

Per session or per month, and why the difference matters
Per session is simple and suits an arrangement that may not last: you pay for what happened. Its weakness is that it quietly discourages a tutor from planning, because planning happens between sessions and nobody is paying for that hour.
Per month is better for a long engagement, but only when the month is defined. "Monthly fee, twice a week" is clear. "Monthly fee, sessions as needed" is where every later argument starts, because the parent's idea of as needed and the tutor's diverge within about six weeks.
The clearest form is a monthly fee against a stated number of sessions, with a written rule for what happens above and below that number.
The month with five Mondays
A Tuesday and Friday slot gives eight sessions in most months and nine in some. Over a year that difference adds up to a few sessions in either direction, and it is the single most common source of a bad-tempered message at the end of the month.
Decide once. Either the monthly fee is flat and the calendar evens out across the year, or it is counted and a nine-session month is billed as nine. Both are fair. Only the unstated version is not.
Cancellations: the child's, the tutor's, and everyone's
- The child cancels with notice. Twelve to twenty-four hours is a reasonable standard. Rescheduled within the same week where the timetable allows, otherwise carried or forfeited by an agreed rule.
- The child cancels on the day. Charging for it is fair, and most parents accept it once they see it stated in advance. The slot was held and the tutor cannot refill it at six in the evening.
- The tutor cancels. Always made up, without exception and without you having to ask. A tutor who misses sessions and does not offer to make them up is telling you something about the rest of the year.
- Illness and family events. Agree a small number of free cancellations for the term. It removes the guilt and the negotiation from a week when nobody has energy for either.
The thing most parents get wrong here. They pay a large advance to secure a good tutor. Do not. A month at a time is normal in home tuition and protects both sides, because it keeps the arrangement reviewable for you and keeps the tutor's incentive where it should be. Nobody needs three months of your money to prove they are serious.
Exam weeks, extra sessions and the holidays
Two predictable things happen every year. Before exams you will want extra sessions, and during school breaks the schedule will wobble. Both should be priced before they arrive, not negotiated at nine in the evening in February.
Ask early: what is the rate for an additional session outside the regular slots, and is there a limit to how many you can ask for in a week? Then ask what happens during the school break. Continue, reduce, or pause are all legitimate answers, but a pause raises a second question worth asking directly, which is whether your slot is still yours in July.
What the fee should already cover
Preparation before the session, setting work and actually marking it, and a short honest account once a month of where the child is and what is next. These are not extras. A tutor who wants to charge separately for marking or for a monthly update has not planned to do either of them as a matter of course, and that tells you more than the price does.
Travel is a fair conversation, not a hidden one. A tutor taking a slot far from where they live is spending real time on the road, and some price that in. In Noida this comes up more often than parents expect, because a tutor may be travelling from within Noida or across from Delhi in the evening, and those are two quite different journeys. Ask whether travel is inside the quoted fee. An honest yes or no is fine; a surprise line item three months in is not.
Questions parents ask
Do we pay for the demo class?
No. A demo is free, and a tutor who charges for the first meeting has a different business model from home tuition.
Is a written agreement necessary?
A formal contract, no. A message setting out the slot, the number of sessions, the fee, the notice period and the cancellation rule, yes. Send it after the first session and ask the tutor to confirm. That single message prevents nearly every dispute.
The tutor is regularly ten minutes late. Should I say something?
Yes, once, plainly, and early. Traffic is real, so agree what happens: either the session runs ten minutes longer, or it starts ten minutes later as a fixed change to the slot. Letting it drift is how a forty-five minute session quietly becomes thirty-five.
We are travelling for three weeks. Do we pay?
Ask in advance. Common answers are a pause with no fee and no guarantee of the slot, or a reduced retainer that holds the slot. Both are reasonable. Deciding it after you return is not.
Should the fee change when the child moves to a higher class?
Usually yes, and it should be discussed before the new session year rather than appearing in a bill. Senior classes take more preparation and a different kind of tutor.
What if we want to add a second subject?
Treat it as a separate arrangement with its own sessions and its own fee, even with the same tutor. Two subjects folded into the same hour usually means neither gets a full session.
